I used to lose four out of ten leads to follow up gaps.
Not because my team was bad. Because there were only so many hours in a day, languages one person could speak, and conversations they could manage at once.
This is the reality for most real estate agents in Dubai's secondary market:
- A portal enquiry comes in at 23:41 on a Friday. Your assistant left at 18:00.
- An owner calls while you are in a viewing. The call goes to voicemail.
- A buyer asks about a 2 bedroom in Marina. You have three that fit. But you are driving.
- A lead from six weeks ago was actually interested. You forgot to call back.
Every one of these is a commission that never happened. Not because the opportunity was not there. Because the response was not.
Why does hiring more people not solve it?
The standard response to this problem is to hire: a telecaller for owner outreach, a receptionist for portal enquiries, an assistant for scheduling and follow up.
Rough figures for what that costs in Dubai:
| Role | Salary, AED per month | Plus |
|---|---|---|
| Telecaller | 4,000 to 5,000 | visa, medical insurance, Emirates ID, gratuity |
| Receptionist | 4,000 to 5,000 | the same settling costs again |
| Assistant | 5,000 to 6,000 | and again |
And they still work one shift. Speak one or two languages. Take weekends off. Take sick days. Take your contact book when they leave.
Hiring more people does not solve the capacity problem. It makes the capacity problem more expensive.
What does an AI real estate assistant actually do?
An AI real estate assistant is not a chatbot that answers questions on your website. That is table stakes. A real one operates like a floor of workers that never sleeps.
Supply side: getting the stock
The owner outreach. Calls every owner in your database on a schedule you set, 09:00 to 18:00. Never calls the same person twice in one day. Never calls someone who said "not now" until 30 days have passed. Speaks to the owner in the owner's language.
The market update. Sends a quarterly update to every owner who ever said no. Not a mass email. A personalised message with actual comparable sales in their building.
The recovery. Re-engages owners whose listings expired six months ago. The ones you forgot about.
Demand side: catching the buyer
The portal responder. Answers portal enquiries in under five minutes. At 23:41 on a Friday. With the exact information the buyer asked for. In their language.
The matcher. Finds which of your listings fits what the buyer just said. Not keyword matching. Actual understanding of "I want a 2 bed with a marina view, under AED 2M, ready to move in."
The qualifier. Asks the three questions that tell you if this is a serious buyer or a time waster. Before you ever pick up the phone.
The centre: what connects both
The librarian. Reads your Excel against the building's floor plan. Splits it by tower, by typology, by floor tier. A unit on 8 does not price like the same unit on 38.
The scheduler. Offers real slots. Books. Confirms. No "I will get back to you."
The scribe. Records every call, email, WhatsApp and chat. Saves it against the person and the property. Not scattered across four apps and a notebook.
What does the AI hype get wrong?
Not everything called AI actually helps. Four things to ignore:
- Generic chatbots. The ones that answer "what are your opening hours?" These do not move commissions. They are customer service tools, not sales tools.
- Lead scoring without action. Knowing which lead is hot is useless if nobody has the capacity to call them while they are hot.
- Automated emails that sound like robots. "Dear valued customer, thank you for your interest." Every buyer knows this is automated. It builds distance, not relationship.
- AI that cannot speak Arabic. Dubai's secondary market runs in several languages. An assistant that only handles English misses a huge share of the owners and buyers in your own database.
What actually works: the AgentFlow AI floor
At Novigent, we built AgentFlow AI because we were running a real estate business and drowning in the same problem. We did not build a tool. We built an operational floor.
It is licensed. Novigent is a licensed call centre for inbound and outbound calls and a licensed telephone and direct marketing company. Every automated call is a call we are legally permitted to make. The permit, the numbers and the responsibility sit with us. Unlicensed telemarketing in the UAE carries fines, and with most software the liability sits with you.
It is multilingual. The same conversation quality whether the owner writes in Arabic, the buyer calls in Spanish, or the enquiry lands in English or French. Not translated. Understood.
It remembers forever. The owner whose price was too high in March comes back every 30 days. The lead that went cold six weeks ago comes back too. Nobody is forgotten because nobody has to remember.
It clears the bar. One assistant costs AED 5,000 to 6,000 a month before the settling costs, and still works one shift. AgentFlow AI costs AED 4,400 a month. Always on. Multilingual. Built to work your database at scale. Three additional deals a year is around AED 72,000 in estimated income at typical splits. That is the bar, and everything on the floor exists to clear it.
How do you choose an AI assistant for real estate?
If you are evaluating options, ask these questions:
| Question | Why it matters |
|---|---|
| Are you licensed to make these calls? | Unlicensed telemarketing in the UAE carries fines. With most tools the liability sits with you, not the software company — see how AgentFlow AI's calling is licensed. |
| Which languages does it speak? | Dubai's market is multilingual. English only misses most owners. |
| Who owns the data? | Your contact book is your business. You should be able to export it whenever you want. |
| Can I control the scripts? | Your tone, your message, your brand. Not a generic template. |
| What happens when I stop paying? | Lock in is a trap. Cancel anytime, keep your data. |
| Does it work both sides? | Supply and demand. Not just lead capture. Not just follow up. Both. |
Is an AI assistant right for your agency?
It makes sense if:
- You are losing leads to response time, with portal enquiries unanswered for hours
- Your follow up system depends on one person's memory
- You manage stock and buyers in separate places
- You have more listings than you can consistently work
- You turn down opportunities because you do not have the capacity
- You want to work one side and earn both sides of the deal
If three or more apply, the question is not whether AI can help. It is whether you can afford to keep doing it manually.
